Work Café Terms of Use

General

These terms of use apply to you as an individual using the Work Café co-working areas or meeting rooms at Work Café premises (‘you’), operated by Santander International, through www.workcafe.im (‘Website’). 

  1. Who we are and how to contact us

In these terms of use 'we’, ‘us’ or ‘our’ refers to Santander International, which is the trading name of Santander Financial Services plc, Jersey Branch, whose principal place of business is at 19 - 21 Prospect Hill, Douglas, Isle of Man, IM1 1ET, and is regulated by the regulated by the Isle of Man Financial Services Authority. 

  1. Use of co-working area and meeting rooms

You are entitled to use our co-working area and meeting rooms, subject to these terms of use.

  1. You must not bring your own food and drinks into the Work Café and meeting rooms. You can only consume food and drink purchased on the premises.
  2. You cannot consume alcohol on the premises, and you cannot bring alcohol onto the premises.
  3. Smoking and the use of vapes is not permitted inside the Work Café or its outside seating area.
  4. Only assistance animals are allowed on site.
  5. You must not use the co-working area or meeting rooms in any way which results in annoyance or disturbance to us or any visitors or which may bring our name into disrepute.
  6. If you intend to film any activity within the Work Café in a commercial capacity, you should seek consent from the Work Café Director. We are entitled to politely ask any customer filming activity within the Work Café to stop doing so. Santander International’s policy is clear that any filming or photography cannot take place inside branches unless authorised.

 

  1. Use of Internet

You are entitled to the use of free internet access at our premises. Such use shall be at your own risk and subject to you complying at all times with the relevant provisions of the Digital Economy Act 2010. 

We provide internet access through a third-party service provider. You will be asked to accept terms and conditions when you connect to the service. Please contact a member of our staff if you need assistance connecting to our Wi-Fi service.

We will not be liable for any loss or damage caused by:

  • acts or omission or the third-party service provider;
  • a virus, distributed denial-of-service attack or other technologically harmful material that may infect your computer, equipment, computer programs, data or other proprietary material due to your use of the internet on our premises; or
  • a third party accessing or intercepting your internet traffic unauthorised. 
  1. Meeting room booking

By booking one of the meeting rooms you represent and warrant that:

  1. you are 18 years of age or older;
  2. you have a full legal authority to enter into these terms and conditions; and
  3. you have read and understand these terms of use and agree to comply with them.

You are also responsible for ensuring that all members of your group are aware of these terms of use, and that they comply with them. 

  1. You can book a meeting room during Work Café opening hours.
  2. Bookings can be made for a minimum of 30 minutes and up to a maximum of 2 hours per day but cannot be extended beyond this.
  3. All bookings are subject to availability. We will send a confirmation and reminder of your booking to the e-mail address you provided to us.
  4. You are required to provide your name, email address, and contact telephone number to allow us to effectively manage the meeting room booking service.
  5. If you wish to make any changes to your booking, or you no longer wish to use the meeting room, then you should let us know as soon as possible. 
  6. Your booking will automatically expire if you do not record/confirm your attendance within 15 minutes of the meeting start time. 
  1. Meeting rooms restrictions of Use
  1. When making a booking, you conform to all conditions listed within the Work Café Terms of Use.
  2. When making a booking, you must declare to us the purpose of your booking. The meeting rooms and Equipment must be used for that purpose only. 
  3. You are responsible for ensuring your own behaviour and that of others attending your meeting is always appropriate and in accordance with our principles and values.  We reserve the right to cancel any bookings and to ask you and your group to leave if there is unacceptable behaviour, which we in our sole discretion deem inappropriate.
  4. ensuring the health and safety of everybody attending your meeting throughout the duration of the booking period.
  5. You are responsible for carrying out any risk assessments and familiarising yourself with the fire evacuation procedures of the premises, including passing this information onto anyone using the meeting room you have booked.

Information regarding fire evacuation procedures are available on premises.
We reserve the right to alter proposed room layouts in order to comply with fire regulations and to refuse admission to rooms for health and safety reasons. 

  1. Co-working area and meeting room and liability

You acknowledge that our co-working areas and meeting rooms are provided as a complimentary service without charge. We reserve the right to cancel or move your meeting room booking to a different room if required without liability to you. We will notify you if we have to do this.

  1. We shall under no circumstances whatsoever be liable for:
    1. any loss of profit or revenue, loss or inaccuracy of data, equipment downtime, business interruption (in each case, whether direct or indirect) or any indirect, incidental, punitive, exemplary, special, or consequential loss or damages however arising under or in connection with these terms of use;
    2. for any loss or damage to property that you or others attending your meetings bring to our premises;
    3. for any loss due to mechanical breakdown, failure in electricity supply, floor, fire, government restriction or act of God or anything else outside our reasonable control which may cause the premises to be temporarily closed or your meeting to be interrupted; and 
    4. any views and actions of other individuals and any action of a third parties in the Work Café.
    5. You are responsible for any damage or harm done to persons, building or property arising from your actions or omissions or those of your group.
  1. Any remaining liability we may have to you under or in connection with your booking or these terms of business shall be limited to a maximum of £1000.
  2. Nothing in these terms of use excludes or limits our liability for death or personal injury arising from our negligence, or our fraud or fraudulent misrepresentation, or any other liability that cannot be excluded or limited by law.
  1. Co-working area and meeting room equipment 
  1. The use of the meeting room includes hiring of all the equipment (‘Equipment’) in the room, including without limitation tables, chairs, and electrical equipment, as further detailed in the room specification on the Website.
  2. You must report any faulty Equipment to a member of the team as soon as possible.
  3. You must not move Equipment from the meeting room to any other part [or outside] of our premises without our consent.
  4. If you plan to use your own laptop/computer, it must display a current PAT test label to conform with any legal requirements.
  5. If you wish to bring any additional technical or electrical equipment, you must agree this with us ahead of your booking. All such equipment must display a current PAT test label.
  6. You should not leave any equipment and any property you bring to Work Café unattended. Any equipment and property you bring onto the premises of Work Café is done so at your own risk and any loss or damage to your property is your responsibility. 
  7. You must ensure that you leave the meeting room as you found it, removing all your equipment, and putting all rubbish in the bin.
  8. If you damage any Equipment or any other items belonging to us whilst on the premises, you agree to pay the costs for repairs or replacement of the item or items.
  9. You also agree to pay the cost of cleaning, should the room be left soiled.
  1. Termination and Suspension 

These terms of use apply to each booking and will remain in full force and effect until the relevant booking has ended. We may suspend or terminate the booking and your right to book a meeting room at any time for any reason at our sole discretion, including for any violation of these terms of use. 

How we use your personal information

  1. Any personal information we collect from you as part of the meeting room booking process will be used in accordance with our privacy policy.
